We’re MIC media – a podcast production and training social enterprise helping good eggs use audio for social impact. We care deeply about your privacy, and this policy explains how we collect, use, and protect your personal data when you visit our website or get in touch with us.

Please read this policy carefully – we’ve kept it as jargon-free as possible.


1. Who We Are

MIC media Ltd is a company registered in England and Wales.

We’re the “data controller” – meaning we decide how your personal data is used and protected, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.


2. What This Policy Covers

This policy applies to the data we collect when you:

  • Visit our website
  • Contact us (e.g. via forms, email, or phone)
  • Book onto a training, podcast club, or other event
  • Sign up to our newsletter
  • Work with us as a client or collaborator

It doesn’t cover any third-party websites we link to (like Eventbrite, Spotify, or ConvertKit). They’ll have their own privacy policies.

  • Organisation or job title (if relevant)

  • Event or training bookings (e.g. Calendly, Google Forms)

  • Audio or transcript content (if you work with us on a podcast)

We don’t knowingly collect or store any sensitive personal data unless you’ve given clear permission.


4. How We Use Your Data

We only use your data when we’ve got a valid legal reason to do so. Typical uses include:

  • Delivering services you’ve booked or agreed to
  • Sending project updates, resources, or training materials
  • Processing payments or invoices
  • Sharing newsletters (if you’ve opted in)

We’ll never sell your data or use it for spammy marketing. We’re values-led, not shady.

Typical retention periods:

  • General enquiries – up to 12 months
  • Clients – up to 7 years after the project ends (for legal/financial compliance)
  • Newsletter subscribers – until you unsubscribe

Some backup copies may persist for a short time after deletion (for security and audit reasons).

8. Who We Share Your Data With

We only share your data with trusted partners and tools that help us deliver our work. These include:

  • ConvertKit – for email newsletters
  • Google Workspace – for email and file storage
  • Calendly – for booking calls or sessions
  • Stripe / GoCardless / SumUp / PayPal – for processing payments
  • A2 Hosting / WordPress – for hosting and maintaining our website
  • Freelancers or collaborators – when needed to help deliver a service (under confidentiality)

All of these providers are GDPR-compliant and only use your data as instructed by us.

If we transfer data outside the UK, we’ll make sure it’s protected (e.g. via Standard Contractual Clauses or equivalent safeguards).


9. How We Keep Your Data Safe

We follow good data security practice, including:

  • SSL encryption on our website
  • Password protection and limited access
  • Regular reviews of security measures
  • Staff training on privacy and confidentiality

Bonus: We’re also Cyber Essentials certified – which means we meet government-backed standards for protecting against common cyber threats.

We may update this Privacy Policy from time to time – especially if our services or legal obligations change.

We’ll always update the “Effective date” above, and may flag big changes on the site or by email.
